The challenge
Small businesses, and the payroll firms that work for them, needed a single place to manage their staff. The payroll firm sends every payslip for the month in one PDF, time recording is a legal requirement and holiday rules differ from one company to the next.
They needed a tool any employee could use on their phone, that each company could set up its own way and that would protect such sensitive data.
The solution
We built a multi-company web platform with profiles for staff, managers, the HR team and the payroll firm. The company uploads the month’s payslip PDF and the portal splits it by person, notifies each one and lets them sign their own.
Employees clock in, request holidays and leave, check their documents and sign contracts or notices from their phone. Requests are checked against their company’s rules: public holidays, colleagues who can’t be off at the same time or limits per department. The payroll firm works with its clients’ payslips and documents and receives a monthly summary to prepare its work.
Sign-in uses two-step verification or a fingerprint, every action is logged and personal data is anonymised and deleted within the GDPR retention periods.

The result
Each employee gets their payslip, clocks in and requests holidays from their phone, and the company sees requests, time records and documents awaiting signature in one dashboard. The payroll firm no longer hands out payslips one by one.
Time records are stored so they can’t be deleted, with corrections noted separately, and are ready to export whenever the labour inspectorate asks for them.
